*Gala Dinner Tickets: In order to receive your complimentary gala ticket, you must check the box during registration. You will not automatically receive a ticket upon registering for the conference.  A complementary gala ticket is provided to individuals who check the box requesting the gala ticket and have paid registration prior to July 21, 2013 (payment must be received in the office by this date).

This year’s conference registration process is all-new and 100 percent online!  Registrations are required to be completed online; phone and handwritten/typed registrations will not be accepted.  There is an option to print each page of the online form, which can be submitted with a check payment or for your backup record.

If you are ready to register for the event, please follow these step-by-step instructions:

  • Please read the Conference Registration Policies before registering.
  • Visit the NAHN registration page, located here.
  • Scroll down the page and click where it says "NAHN 38th Annual Conference: Creating the Vision, Shaping the Future."
  • After reading the information, click on the yellow bar that says, "Register for this Event ."
  • Log in with your NAHN account credentials.  If you are not a NAHN member or do not have a profile already, please create a free profile.
  • Note: Complete each registration page carefully, clicking NEXT at the end of each page.  You have the option to go back to a previous page if you need to make a change; simply click the PREVIOUS button.  All registration fields require an answer; if an answer is not provided, you will not be able to advance to the next page.
  • Select your registration option: ‘Full Conference Registration’ or ‘Student Full Conference Registration.’
  • Review your personal information and modify if necessary.
  • Select all sessions for which you’d like to register.  Please note that the Gala Reception & Dinner is included with conference registration.  If you plan to attend the Gala, you must select the $0.00 option in the session selection optionson page 2 to RSVP.  If you do not select this option by July 22, you will need to pay $150 to attend.   If you would like to bring a guest, additional tickets can be purchased for between $100-150 each, based on the date of registration.
  • Confirm your selections, noting the Print function if you would like to print your selections.
  • Click ‘Register Now.’
  • Confirm the number of Gala guests, including yourself, and edit/confirm your billing address.
  • Complete your payment details.
  • Review your event summary and select your email confirmation preferences.

Upon receipt of payment, a confirmation email will be sent to the email address provided on the online registration form.  If you are registering less than two weeks before the conference, or if you do not receive a confirmation email, please email info@thehispanicnurses.org to check on space availability.

Important payment information to note:

  • Credit card payments must be made online at the time you register. If someone else aside from yourself will be paying with a credit card for your registration, complete the registration form online and forward them the confirmation email which has the link to the payment section.  It is important to register first and then have the payer reference your name on the payment options so we can match the payment to registration.
  • Check or money order should be mailed with a copy of the registration Pay Page Form. If a check is mailed without the Pay Page Form, it cannot be applied to your registration.

Conference Registration Policies

Cancellations, Refunds, & Transfers

Cancellations will only be considered when received in writing. You may receive a full refund for your conference registration (less a $50 processing fee) for written cancellations received by NAHN on or before June 7, 2013. Written notices of cancellation received June 8, 2013 through July 26, 2013 will be assessed a $125 processing fee. Only medically verifiable cancellations will be considered for partial refund from July 26, 2013, through August 16, 2013.

Registrants who do not show up for the conference and do not contact NAHN (via written correspondence as listed above) prior to the end of the show automatically forfeit all registration fees paid unless your inability to contact us was due to a verifiable emergency medical issue that occurred within 1 one week prior to the start of the conference. In this instance, the postmarked deadline to receive your request for a partial refund is August 16, 2013. Regretfully, no considerations can be made after this date.

REPLACEMENT/TRANSFER: If you are unable to attend for any reason, you can transfer your registration to another person without penalty. Simply fax or mail a copy of your confirmation letter with a cover letter stating your request along with a completed registration form from the person replacing you to:

Registering for any continuing nursing education activity constitutes acceptance of all these terms.

Children & Childcare

Sessions, events, and exhibits can only be attended by REGISTERED ATTENDEES. NO ONE UNDER THE AGE OF 16 WILL BE ALLOWED INTO THE EXPO HALL. If you bring a child to the conference, please ask the hotel concierge for a list of local companies that offer child care.

Registration Confirmation

Your confirmation letter will be mailed within 15 working days of receipt of registration form and payment beginning January 28, 2013. If you do not receive a confirmation after 30 days, please email your request to nahn@nahn.org.  Online registrations will receive an email confirmation upon successful completion of registration. If you register online and do not submit payment or do not receive a confirmation email within 5-10 minutes, your conference registration may not have been completed correctly. Please email info@nahn.org for assistance.

Email / Cell Phone Usage Policy

By submitting your email address during the conference registration process, either online or by submitting with your mailed or faxed registration form, you agree that NAHN and its conference partners may send you nursing and/or conference related information. A valid email address is required for all registrations. All conference correspondence will be made through email or cell phone message. A valid email address and cell phone number are required. Your information will only be used by NAHN and its agents as needed to communicate conference-related information and notifications. Data and text charges may apply.

Mailing Address Usage Policy

By submitting your mailing address during the conference registration process, either online or by submitting with your mailed or faxed registration form, you agree that NAHN and its conference partners may send you a one-time mailing of nursing and/or conference related information regarding their participation at the Annual Conference. Due to the large amount of support given by exhibitors and sponsors to subsidize the conference and make it possible to bring our members and attendees the latest and most valuable educational information, your cooperation and support is appreciated!

Name Badges

Conference attendees are reminded that it is important to wear your badge at all times. This allows you uncomplicated access to conference events, including the Expo. Due to the amount of support given by exhibitors to subsidize the conference, your cooperation and support is appreciated!

Registration Fees

Individual registration forms received at the Early Bird or REGULAR rate without FULL PAYMENT will not qualify for the discounted rate and will be assessed the current rate at the time full payment is received. Registration forms received without any payment will not be processed.

Guest Passes

NAHN is pleased to once again offer a guest pass designed to provide attendees’ guests access to the Expo Hall. A Guest Pass can only be purchased for $39.00 at ONSITE registration by an individual who is registered as a FULL CONFERENCE attendee. Guest Passes do not include conference materials nor do they provide access to NAHN’s educational sessions. Guest Passes are not available to exhibitor registrants or exhibitor attendee registrants. Identification will be required. Guests may attend the Gala reception and dinner on Friday, August 9 with the purchase of a ticket.  Ticket prices for guest attendees range from $100-$150 (see Rate chart) and guests must accompany a Full-Conference Attendee. Space availability is limited.

Conference Attire & Courtesies

To make the conference experience an enjoyable event for all attendees, please keep the following in mind:

As a courtesy to speakers and other attendees, please refrain from the use of pagers or cell phones during presentations. Please also keep in mind that conference participants are there to learn. In consideration of all attendees we ask that you please turn your pager or cell phone to vibrate or off while in meetings.

In order to accommodate environmental sensitivities of some of our attendees, if at all possible, please do not wear scented products while attending the conference, especially the sessions. Please bring summer attire, as outside New Orleans temperatures are often hot and muggy, reaching temperatures of up to 90 degrees.

To maintain and demonstrate professionalism within our industry, conference attire is business casual. Since it is difficult to adjust meeting room temperatures to suit individual preferences, please bring a sweater/jacket or wear layered clothing to ensure your comfort.

Videos & Photography

Any photos or videography taken at the conference by NAHN (or agent of NAHN) may be used in future conference collateral, appearing either in printed documents, video productions, or on the NAHN website. We appreciate your consent to use these photos for the purpose of sharing and promoting the conference. Submission of your conference registration form to NAHN acknowledges acceptance of these terms and provisions of registration.

Smoking

For the comfort and health of all attendees, NAHN’s Annual Conference is a smoke-free educational event. You may only smoke in areas which have been designated as smoking areas by the Astor Crowne Plaza Hotel.

Marketing Activities

Attendees are not permitted to distribute materials or to otherwise market themselves or their business on the exhibit floor, in the conference session rooms, in break areas, or in or around the exhibit area unless such attendees are registered as exhibitors and in this instance must limit their marketing activities to within the confines of their booth.

Statement of Liability Waiver

TERMS OF REGISTRATION

The organizers of NAHN’s 38th Conference & Expo expressly disclaim liability for acts or omissions of the organizers and for third parties including facilities suppliers and exhibitors in conjunction with the event or for the safety of any attendee while in transit to or from this event. The organizers of this event shall not be liable for any delays or failure in performance or interruption of services resulting directly or indirectly from any cause or circumstance beyond the reasonable control of the organizers including but not limited to, acts of God, war, terrorism, failure of transportation, weather, accidents, fires, electrical failures, strikes, labor disputes, postal delays, explosions, and government orders or regulations.

The organizers reserve the right to cancel this function without liability. Attendees who purchased nonrefundable airline tickets do so at their own risk. The total amount of any and all liability of the organizers will be limited to a refund of the attendance fee.

NAHN expressly disclaims any liability arising out of attendee’s consumption of alcoholic beverages in conjunction with NAHN’s 38th Conference & Expo. Recognizing the nature of receptions and the potential for alcohol abuse at conferences, NAHN-sponsored events will also offer non-alcoholic drinks. Persons under the age of 21 will be denied alcoholic beverages. Conference participants are responsible for their own well-being. The organizers expressly disclaim liability for any acts or omissions of attendees resulting from excessive drinking, recklessness or negligence on the part of any conference participant(s).

You also agree not to allow any other individual to participate in your place either at the conference, during the registration process, or any other conference-related activity including acceptance of these terms of registration.

Attendees/Exhibitors at the 2013 Annual Conference agree to indemnify, defend, and hold harmless NAHN, its officers, directors and agents, against all claims arising out of actions or omissions of Attendee/ Exhibitor at or in connection with the 2013 conference except for NAHN’s own gross negligence or willful misconduct. NAHN agrees that it will indemnify and hold harmless Attendee/Exhibitor against all claims arising out of the acts or omissions of NAHN, its officers, directors and agents in connection with the 2013 Conference except for Attendee’s/Exhibitor’s own gross negligence or willful misconduct.

NAHN reserves the right to substitute an equally qualified speaker in case of an emergency or cancellation. NAHN has no duty of due diligence with respect to presenters, exhibitors, or sponsors, and makes no endorsements of any presentation or product. The views, opinions, and presentations of speakers at NAHN’s Conference may not reflect those of NAHN. Organizers: Case Management, Inc. and the National Association of Hispanic Nurses.
